Office Administrator

Role Summary

We have an exciting new contract opportunity based in Scotstounas a Office Administrator.

The role will be an initial 12 month contract and will provide you with the opportunity to provide PA and Administrative duties to the Engineering Functional Director and their associated teams.

Key Responsibilities

  • Diary Management/ Arranging meetings and room bookings
  • Compiling expenses for the team and submitting for approval through Concur Expense Syste
  • Taking the lead on specific items for the Department as a whole e.g. Building security, on boarding of new recruits, IT problems etc.
  • Maintaining the Engineering Intranet Pages
  • Management of MyO Time Management System and corporate credit card purchase and statement reconciliation.
  • Delivery of specific objectives on the engineering Plan on a Page
  • Travel Bookings for the team, flight, hotels, shuttles, car park, hire cars and associated security arrangements.

Key skills & qualifications

  • Pro-actively ensuring Functional Engineering Director has relevant material for meetings
  • Keep accurate records and compiling presentations and reports
  • Prioritising and handling email and telephone calls
  • Maintaining Safety and Information Boards
  • Arranging payment of outstanding invoices
  • Ensuring safe disposal of confidential waste
  • Stationery and other ad hoc orders
  • Providing support for the various Councils and meetings
  • Local IT Administrator
  • Building security – maintaining a log of visitors to the building and use of the meeting room and ensuring building security processes are followed.
  • Maintaining Fire and Building Manual
  • Administering Building Induction Courses
  • Organisational and planning skills
  • Strong IT Skills
  • Ability to retrieve technical and business information from various systems
  • Skilled in the use of MS Office, particularly WORD, EXCEL and VISIO
